Technician Quick Reference Guide: Creating a Quote in RFS
⚠ Prerequisite:
The Quote Feature must be activated in your RFS Profile by an RFS Administrator. After activation, perform a Reset Database before using this feature.
The Quote Feature allows technicians to create a customer quote, which generates a Quote Work Order in Vision for managers to review and finalize. Managers will find the quote in the Customer Site → WO Quote Tab.
Creating a Quote
Option 1: From an Existing Work Order (Same Customer)
From your Status Screen, select the round PLUS (+) button at the bottom.
Option 2: For a Different Customer
Open Menu.
Select Customer Lookup.
Search for the Customer.
Select the New WO tab.
Quote Creation Steps
Scroll to the bottom of the screen.
Turn ON the Quote switch.
Complete the required fields:
Start with Call Type → Service Job
Continue filling out the remaining fields.
Select Save.
You may be prompted to Add the Work Order as an Active Call.
Select Yes.
Verify the Quote Work Order
Open Today's Schedule.
Open the Ellipsis Menu ( … ).
Select the Quote Work Order.
Confirm “Quote” appears at the top right of the screen.
Add Required Notes
Office Note (Internal)
Add an Office Note for:
Internal communication
A detailed Scope of Work (SOW) for managers.
Work Order Note (Customer Visible)
Add a Work Order Note that includes:
A short version of the Scope of Work for the customer.
Managers may edit the note and adjust parts before activating the quote.
Add Estimate Details
Select EST DETAIL.
Add:
Parts
Labor
Miscellaneous items
Important Notes
Parts are NOT pulled from truck inventory.
Only description and pricing are used.
Parts may be selected from:
Stocking locations
Warehouse locations
If you receive an Insufficient Stock message, select Yes to continue.
Miscellaneous items are for non-stock items or vendor parts.
Finalizing the Quote
Select Complete at the bottom of the Status Screen.
In the Select Status field, choose one:
Complete → Removes the work order from your tablet
Suspend → Returns the quote to Today's Schedule
⚠ The Status here only affects the DBoard status.
Make sure to turn ON the “Today's Data” switch under the status field.
Important Email Check
⚠ Before checkout:
Ensure the Email field is blank.
Remove any email addresses (X) so the quote is not sent to the customer automatically.
Then select Checkout.
Checkout Process
Choose any Checkout Form.
Sign your name.
Select Save.
Submit the Quote
Select Submit.
Answer the Post Questions:
Yes → Does the customer have a Request for a Quote or Follow-up?
No → For all remaining questions.
✅ Tip: Provide clear Scope of Work notes and accurate estimated parts/labor to help managers quickly finalize the quote in Vision.
